General Terms and Conditions
We are a travel agent and in that capacity we offer for sale to you various products and/or services on behalf of our Principals viz. Airlines, other transport operators, hotels and other accommodation providers, tour operators and all other principal suppliers. These are referred to throughout as "the Principal/s"
Our services consist of arranging and co-ordinating the services offered by the Principals. We are instrumental in bringing about a direct contractual relationship between you, the customer, and the Principals. We undertake to perform these services with reasonable care and skill but we cannot and do not guarantee the performance of the functions offered by the Principals and we will not be liable in the event that you suffer loss, injury or disappointment by reason of any acts or failings of any Principal. In any such case your remedy will lie against the Principal.
You should be aware that the brochures which we supply to you are the brochures of our Principals and that the statements and representations contained in such brochures are not ours but are made by the Principals. In many cases we have no first-hand knowledge of the facilities or services referred to therein. We are merely passing on to you the Principal's instructions and we accept no liability for any inaccuracies or misrepresentations contained in such brochures.
Price Changes
All costs are based on current airfares, conditions and exchange rates and are therefore subject to alteration accordingly at any time prior to payment in full. In addition, we would like you to be aware that we are required to collect Fuel Surcharges as charged by airlines and suppliers, and we are finding that Fuel Surcharges are increasing significantly and prices can change even throughout the period of a day. Therefore we will always quote you the current fuel surcharge when finalising your ticketing, but there may be a further charge once ticketed. Fuel Surcharges may be levied by airlines and/or suppliers even though you have paid in full, this is particularly important to note for clients booked on cruises.
Payment
All prices quoted are for payment by cash, cheque or direct bank transfer. The retail price is up to 2% more for payments by VISA or Mastercard, 2% more payments by Diners Card or 3% more for payments by American Express .
In all cases, in order to make a booking, a non-refundable deposit will be required. The deposit is variable and will be confirmed at time of booking. Many bookings include ‘instant purchase’ tickets with airlines and therefore require full payment at time of booking. In these cases the full price of the flights will be included in the booking deposit and will be chargeable in the event of cancellation (see below). Final payment is usually due no later than 60 days prior to departure, although this may be up to 90 days before departure for cruises and some escorted tours. If payment has not been made by the specified date, bookings may be cancelled.
Travel Document Form
On confirming your booking, we will require you to complete a Travel Document Form that details essential information concerning your Passport, Visa, Disclosure info, in-flight comfort requirements such as preferred seating, special meals and wheelchair assistance etc, and Frequent Flyer numbers.
Correct names
Airline tickets must be issued in the same surname (family name) and first name as detailed in your passport. Correct information must be supplied at the outset of the booking procedure. In the event of document reissue all costs incurred will be passed on to the traveller.
Amendment Fees
Adventure Travel are happy to incorporate any reasonable amendments you request. An amendment constitutes a change to an existing booking and will attract the following fees:
1 Airfare date/route changes before ticketing - $25 fee per amendment plus any airline charges
2. Airfare changes after ticketing - from $100 per amendment plus any airline charges
3. Land arrangements before documents issued - $25 fee per amendment plus any supplier charges
4. Land arrangements after documents issued - from $100 fee per amendment plus any supplier charges
5. Supplier and airline fees are explained fully in their booking conditions.
Cancellation fees
If you cancel your booking, Adventure Travel will endeavor to retrieve as much as possible from our suppliers. A cancellation fee of 10% of the total booking cost will be imposed by Adventure Travel, with a minimum of $200 per person. This cancellation fee is required to offset booking, communication and administration charges which will have already been incurred. In most cases this will be covered by your travel insurance.
In addition to our cancellation fee you may also be required to pay cancellation fees imposed by airlines, tour companies, or other suppliers - this amount will be detailed in their booking conditions. The amount of each supplier`s cancellation fee is beyond our control, and payment is solely your responsibility. We strongly recommend that you purchase our Travel Insurance which will cover you for cancellation fees and loss of deposits if you are forced to cancel due to unforeseen circumstances.
Refunds
If you cancel your travel arrangements after paying for the same no refund will be available to you until after we receive the moneys from the Principal involved. In most cases fees will be payable for cancellations and in some instances you may not be able to claim a refund.
Travel Insurance
Travel insurance is strongly recommended for all international travel. Please ask for our brochure or follow this link.
We recommend that you take out a travel insurance policy at the time you pay for your travel. You should ensure that such insurance will protect you against medical expenses arising from sickness or injury during your travel and protect you against loss or damage to your belongings. At this time, however, insurance cover is not available for the financial collapse of all parties involved in providing services on your behalf during your travel or holiday.
Please note that some tour companies will not accept credit card insurance as an acceptable level of cover. If you choose not to take our recommended insurance we will require you to sign a disclaimer form.
Passport and Visa Requirements
It is necessary to ensure you hold the correct visa/passport requirements for the regions you are travelling to. It is important that we sight your passport at the time of booking to confirm we have the correct name for your booking and that your passport is valid and in good order.
We also need to check if you hold a New Zealand passport. If you are not a New Zealand passport holder we need to ensure that you have the correct documentation for a returning resident visa into New Zealand.
Prior to confirming your travel arrangements, you should check your Passport and establish that it will remain current for the entire period of your travel. Certain countries require that your Passport remains valid for a period of up to six months after the date upon which you are scheduled to leave such country. If your Passport expires less than six months after the date you are scheduled to leave such country you may be denied entry to that country. Please contact us for current visa requirements.
The authorities in some countries (including Australia and USA) require holders of New Zealand passports to take out a visa for entry into their country where the traveller has been sentenced to imprisonment or been convicted of certain types of criminal offence. A visa may also be required where a contagious disease or serious health problem exists.
USA ESTA Visa
Those who already have a valid ESTA will not have to pay until their current ESTA expires. As ESTA registration lasts for two years.
All eligible travellers (which includes NZ citizens), travelling under the Visa Waiver Programme (VWP) to, or transiting through the United States of America will be required to obtain an electronic travel authorisation ("ETSA") prior to boarding to travel by air or sea from January 12th, 2009. This is valid for tourism or business stays of 90 days or less and which do not otherwise require a visa to be issued.
For Travellers entering the USA under the Visa Waiver Scheme, the ESTA registration is currently free of charge. From 9 September 2010 a fee of US$14 will apply, broken down as follows:
- US$4 Processing Charge – Charged to all applicants requesting an electronic travel authorization.
- US$10 Authorization charge – Additional charge applicable when an application is approved and an authorization to travel to the United States is received under the Visa Waiver Program. If the ESTA application is denied, travellers are only charged the $4 processing fee.
Payment to be made by credit or debit card. A third party’s credit card can be used.
It is the responsibility of the travellers to complete the authorisation online. Authorisation is obtained by logging onto the ESTA website at https://esta.cbp.dhs.gov and completing the online application form.
We suggest that you complete this early in the booking process as some nationalities and clients may be required to obtain an actual visa.
The ESTA is:
Valid for Machine-readable passports only
Required for all VWP travellers prior to boarding a carrier to travel by air or sea to the United States (allow at least 72 hours for authorisation to travel to be granted).
Valid for up to two years or until the travellers passport expires unless revoked; whichever comes first.
Valid for multiple entries into the US. However future trip details, itinerary or destination addresses changes must be updated through the above website.
It is not a guarantee of entry into the United States at the port of entry as it is only an approval to board a carrier to travel to the USA.
It is very important that you apply for the VWP authorisation as those who do not apply and receive travel authorisation via the ESTA website prior to travel may be denied boarding, experience delayed processing or be denied admission at a USA port of entry.
Re-entry Visas for New Zealand
Re-entry visas will be required for travellers leaving New Zealand holding a foreign passport. If you are a New Zealand citizen holding a foreign passport issued by a country which does not recognise dual citizenship you will not be granted a visa allowing you to re-enter New Zealand on your foreign passport, after travelling overseas.
It is most important that you make your own enquiries and satisfy yourself as to the position in regard to your passport and/or visa requirements before leaving New Zealand.
Vaccinations
Certain countries require that travellers be vaccinated against specific diseases. Check with your doctor and the Embassies of countries to which you are to travel to satisfy yourself as to whether your destination has any requirements in this respect. Recommended protection may include Cholera, Typhoid, Meningitis, Hepatitis, Tetanus, Polio and Malaria. Yellow Fever is imperative for entry into Tanzania, Kenya and Brazil; a vaccination certificate must be presented on arrival.
Checking your Travel Arrangements
We have exercised care in putting together the arrangements requested by you in regard to your travel and accommodation. It is important that you check all of the documentation handed to you in relation to your proposed travel and accommodation to ensure that it fully meets with your requirements and to ensure that there have been no misunderstandings.
Travel Advisory Service
With enhanced activity worldwide in terms of war and terrorism, the NZ Government provides a travel advisory service for all countries. They have a very good website www.safetravel.govt.nz which is updated regularly with any travel advice or warnings and we recommend you refer to this if you have any queries on travel to any destination.
PAY OR STAY
If a warrant for your arrest has been issued because of unpaid court fines or reparation then you may be stopped from leaving the country. If you feel this may affect you please log onto www.payorstay.govt.nz or ring 0800PAYORSTAY for more information.
Foreign Exchange
We are an authorised stockist for cash passports loaded in either USD/EUR/GBP/AUD or NZD and foreign currency at extremely competitive rates. www.cashpassport.co.nz Cash Passport is designed to be the safest way to carry money. Pin protected, identity protected, 24 hour assistance, emergency cash & replacement card. We are happy to discuss a recommended budget with you.
Airport taxes
Any applicable pre paid airport taxes have been included in our prices. However some countries still collect directly at the airport on departure and you will need local currency to pay these.
Frequent Flyers
A number of airlines operate Frequent Flyer programmes where you earn points for mileage flown. For more information on these please ask. Please note that membership of any airline program is between you and the airline. They will keep you informed of any changes to the conditions and we recommend you read all correspondence carefully in case any changes are made that affect your eligibility for any rewards. Some airfares, in particular specials, do not accrue Frequent Flyer Points - if this is of concern to you, please discuss with your consultant. Other airfares cannot be upgraded using Frequent Flyer Points, or only ‘standby’ and not ‘confirmed’ upgrades can be requested.
It is essential that you keep your air ticket and all boarding passes until you have returned to New Zealand and check your next airline statement to ensure all points have been captured. If points have not been allocated you need to send your copies of air tickets and boarding passes to the airline concerned as soon as possible requesting them to add your points. If you do not keep these documents the airline may refuse to credit your account.
Appointments
So that we can give you the time and attention your travel planning needs, all our consultants work by appointment. We are very flexible in arranging appointment times so please just call and we will arrange a mutually convenient time.
